We are seeking a proactive, detail-oriented Office Administrator who thrives in managing organisational tasks and ensuring operational efficiency.

About the Role:
As the pivotal Office Administrator, you will ensure our office runs like a well-oiled machine. This role involves managing payroll, handling invoicing, liaising with clients and team members, and supporting HR functions. Your contribution will be crucial in maintaining a positive and productive workplace.

This part-time position is perfect for parents seeking a role that accommodates a flexible schedule, with the potential to expand responsibilities as our business grows.

Key Responsibilities:

  1. Invoice Management & Payroll:
    • Manage fortnightly payroll using STP software.
    • Handle client invoicing, collate timesheets, and manage accounts payable.
  2. Communication:
    • Coordinate responses to proposals and quote requests.
    • Maintain effective communication with clients, partners, and team members.
  3. Human Resources Support:
    • Assist in onboarding/offboarding processes.
    • Organise scheduling of performance reviews.

What We’re Looking For:

  • Minimum of 3 years’ experience in a similar role, ideally supporting business owners, directors, or managing directors.
  • Proficient in digital tools such as HubSpot, accounting software, and operating in a mostly paperless environment.
  • Exceptional organisational and time management skills with a proven ability to solve problems.
  • Strong communication skills, professional demeanour, and the capacity to engage with stakeholders at all levels.
  • A proactive mindset, capable of anticipating needs and taking initiative.

From website design, adwords management, social media campaigns, SEO and marketing strategy. The Marketing Exec will be a key part of delivering this to clients, you will learn the various services and, should they wish, be able to grow into an Account Manager or technical specialist role.

Key Responsibilities:

Content Marketing: Develop and execute content marketing plans and campaigns to enhance sales and awareness for clients.

Client Communication: Serve as the primary contact, ensuring timely and professional responses.

Client Invoicing: Produce accurate and timely details for inclusion in client invoices, including allocation of time spent on client tasks and detailed reporting.

CRM and Project Software Updates: Maintain current project statuses and upcoming tasks in the CRM system.

Proposal and Quote Compilation: Generate detailed proposals and quotes for potential projects and client tasks.

Team Task Allocation and Follow-Up: Oversee and track team task allocations to ensure customer expectations are managed.

Client Meetings and Presentations: Participate in and support client meetings as required.
